JOB TITLE: ADVANCEMENT OFFICER: ALUMNI RELATIONS, ANNUAL GIVING & CORPORATE PARTNERSHIPS (Current Opportunity)
Reports To: Executive Director of Advancement & Finance
General Summary
The Advancement Officer for alumni relations, annual giving and corporate partnerships supports the overall advancement efforts of Holy Cross High School by coordinating the execution of the annual fund drive, alumni relations initiatives and corporate partnerships. This position plays a key role in strengthening participation, stewardship, and alumni connection in support of the school’s Catholic mission and long-term sustainability.
Working collaboratively with the Executive Director of Advancement and Finance, Advancement Events Coordinator, Advancement Administrative Assistant and other school partners, the officer assists in building a culture of philanthropy and lifelong engagement among alumni, families, and friends of Holy Cross High School.
Principal Duties and Responsibilities
- Abides by the policies and guidelines contained in the Archdiocese of Louisville and Holy Cross Handbooks.
- Participates in activities that help build a faith community on the campus.
- Strives to ensure a Christ-like, positive, pleasant work environment.
- Responsible for confidential and time sensitive material.
Annual Fund Coordination
- Assist in the planning and execution of the Holy Cross High School Annual Fund to support annual fundraising and participation goals.
- Coordinate multi-channel solicitation efforts including direct mail, email appeals, phone-a-thons, and digital giving initiatives.
- Support targeted outreach to key constituencies including alumni, parents, grandparents, faculty/staff, and friends of the school.
- Track gifts, participation, and campaign progress; assist with preparation of reports and updates for advancement leadership.
- Support donor stewardship efforts including timely acknowledgements, recognition initiatives, and follow-up communications.
- Assist in identifying prospective leadership annual fund donors and potential major gift prospects for referral to advancement leadership.
- Promote corporate matching gift opportunities and assist donors with submission processes.
Alumni Relations & Engagement
- Plan and coordinate alumni events including reunions, homecoming, alumni receptions, athletic events, and young alumni programming.
- Support alumni volunteer engagement including mentorship opportunities, career networking, and student-alumni connections.
- Contribute content for alumni communications including e-newsletters, social media posts, website updates, and alumni publications.
- Assist with pastoral outreach to alumni, including acknowledgements of significant milestones and expressions of sympathy, in collaboration with school leadership.
Corporate Partnerships
- Identify, research, and build a pipeline of local businesses, foundations, and community partners interested in supporting the school.
- Create compelling, customized sponsorship packages and proposals that align sponsorship with advancement events.
- Lead discussions, negotiate terms, and finalize sponsorship agreements, ensuring clarity on deliverables and ROI. Serve as the primary liaison for corporate partners, ensuring fulfillment of all contractual obligations (logo placement, event presence, recognition) and reporting on impact.
- Develop robust stewardship plans to maintain strong, long-term relationships, fostering loyalty and securing renewals and upgrades.
- Contribute to the overall advancement strategy, track progress against financial goals, manage budgets, and report metrics to leadership.
Data Management & Administrative Support
- Maintain accurate alumni and donor records in the school’s advancement database, Little Greenlight.
- Assist with data entry, list management, segmentation, and basic reporting related to giving and alumni engagement.
- Support the coordination of volunteer committees and alumni leadership groups as directed.
- Provide administrative support for advancement and alumni initiatives, including event logistics and communications.
Preferred Qualifications
- Education: Bachelor’s degree preferred; Master’s in Nonprofit Management or Communications preferred.
- Experience: 3–5+ years in fundraising or relationship management, preferably in a faith-based educational environment.
- Technical Skills: Proficiency in donor management databases and Microsoft Office Suite.
- Values: A commitment to the teachings of the Catholic Church and the ability to articulate the school’s specific mission.
Working Conditions
- Schedule: Full-time, year-round role that requires some evening and weekend availability for events and donor meetings.
- Travel: Occasional local or regional travel for donor visits and alumni gatherings.
